Wildau, Germany, 22 July 2025 \u2013 At the end of 2024, TACHOfresh GmbH decided to decided to invest in a modern ERP system called alphaplan from CVS Ingenieurgesellschaft mbH. From the start of the project, it was clear that the new system would need to be closely and intelligently integrated with the operational TACHOfresh solution in order to handle recurring service invoicing cycles and all active vehicles properly. <\/strong><\/p>

Enterprise resource planning systems \u2013 ERP for short \u2013 have become indispensable in the business world. The market is as large as it is confusing. The costs for a mature business solution can quickly reach significant amounts, without necessarily covering all business requirements. For a Software as a Service (SaaS) company such as TACHOfresh GmbH, it is a specific challenge to correctly map the monthly billing runs of multi-year service contracts in the ERP system. A great deal of planning, discussion and documentation was necessary when drawing up the specifications. <\/p>

Strategically, we decided to use alphaplan’s standard interface for the feed with our billing data. The data feed is planned to come from the TACHOfresh contract database, which we designed and programmed. This application was to preserve historical contract data as far as possible, but also recognise necessary changes from our live system and suggest them as change options for our customer service team. \u2018We viewed the alphaplan system more as a billing machine that enables us to correctly post the basic data from our own source to outgoing invoices for each of the 12 monthly billing runs per year,\u2019 explains Susanne Kirsch, CEO of TACHOfresh. \u2018Over a process that has now lasted six months, we have not only managed the normal migration from our old MD5 system to alphaplan, but also developed a completely new TACHOfresh contracts system,\u2019 adds Falko Schmalenberg, Managing Director and CTO of TACHOfresh, who was heavily involved in this project. \u2018We have created something completely new and incorporated more than 10 years of experience in fully automated processes. A clearly structured, user-friendly interface will help to gradually replace the previously very manual processes over the next weeks and months.\u2019 <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

The highlight is that the new TACHOfresh contract system now automatically displays suggestions for new contracts or possible contract adjustments to administrators. Has a customer installed another vehicle? Has a vehicle swap taken place, with hardware being transferred from one vehicle to another? Has new hardware been installed in a customer’s vehicle for the first time? Has a booked service tariff been changed? Or has an add-on feature been booked for a customer? How should the monthly service fee for a vehicle be adjusted? When can a service contract be terminated for the first time? <\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t

“The fact that we automatically receive the right information for all these questions and topics from our live system, and that this information is also tailored to the individual contract terms of our partners, is an absolute milestone for our team. When we started in 2015 with just under 3,000 vehicles, the manual processes could be handled without any problems. Ten years later, with an increase to more than 50,000 vehicle-related service contracts, this is no longer possible. We are therefore very pleased that we have received co-financing from the European Union (ERDF) for this implementation and training project,\u2018 Kirsch sums up. \u2019Everyone always talks about more digitalisation in small and medium-sized enterprises, but such projects are almost impossible for small SMEs to manage. And the possibility of funding was an additional argument for tackling this important issue in a timely manner.” <\/p>
